Set Unavailable Dates for Holidays or Time Off

Overview

Unavailable dates can be set at a Location or at a Caseworker (or both, but that may be redundant).

  • Location Unavailability: these dates/times will prevent any appointment at that Location and would apply to all Caseworkers that are providing service at that Location. The unavailable dates/times would need to be added to each Location/Campus.

  • Caseworker Unavailability: these dates/times will only apply to the Caseworker’s schedule. That means if there are multiple Caseworkers, each Caseworker would need to add Unavailable dates.

Depending on your organization’s set up, it may be fewer steps to apply to unavailability to a Location or a Caseworker. When in doubt, we recommend setting up Unavailability for holidays at the Location level.

Location Unavailability:

  1. Login to the Find Your Ally appointment portal as a Provider Administrator

  2. Navigate to the Locations and click into one of the Location edit screens

  3. Switch to the Booking Rules tab.BookingRulesTab.png

  4. Expand the Unavailable days accordion and add Unavailable Dates/TimesUnavailableDays_Location.png
  5. Click on Update to save settings.

  6. Repeat for all Locations/Campuses that are part of the Provider Organization’s access in the Find Your Ally portal.

 

Caseworker Unavailability

First, note that if the Caseworker utilizes the feature to “Select specific dates” as available (as in the screen shot below), it may not be necessary to set Unavailability. Instead, only enter the available days and times (don’t enter unavailable dates) on the Available Days calendar. In the Calendar below, the 26th and 27th of December are not selected and will not have appointment offerings as a result.

If there is a recurring weekly schedule that is set for the Caseworker, then Unavailable dates are needed to prevent appointments from being offered on Holidays or other breaks in service.

  1. Login to the Find Your Ally appointment portal

  2. Navigate to the Caseworker edit screen

  3. Enter Unavailable days at the top area for Global Rules that apply to all Locations. These Unavailable days will apply to all Locations where a Caseworker is providing Service. If you have a connected Calendar (Google or Outlook), there may be many dates in the Unavailable days section already. The dates do not need to be in chronological order. Simply “Add new” and enter the date and time range for additional unavailable dates/times.image-20221215-172722.png

  4. Note: it is possible to only designate unavailability at specific Locations in the Locations Custom Settings in the bottom Location Custom Settings area. This would matter if there is there are different unavailability rules depending on the Location (this is rare).

  5. Be sure to click on Update to save settings
