Link a Google Calendar to a Location or Caseworker

A Google Calendar can be connected to the Find Your Ally appointment portal. This can allow for appointments from the system to appear on the Google Calendar and any busy events on the Google Calendar to be blocked off in the appointment portal.

Instructions

  1. Login to the Find Your Ally appointment portal
    • Provider Administrators can connect Google Calendars at either the Location or Caseworker area.
    • Caseworkers can only connect a Google Calendar to their Caseworker availability.
  2. Navigate to the edit screen of the Location or Caseworker
  3. Scroll to the bottom region with the header Connections
  4. Expand the Google Calendar Connection accordionGoogle Calendar Connection acordion
  5. Select the connection type:
    1. New Two-way Sync:
      • New: This represents the first time you are linking a Google Calendar from a Google account.
      • Two-way: appointments will communicate from the system to the Calendar AND any busy times will communicate from the Calendar into the system as unavailable times.
    2. Existing Shared Two-way Sync
      • Existing Shared: This represent a Google Calendar that was already connected to another area of the appointment portal AND was set as a shared connection.
      • Two-way: appointments will communicate from the system to the Calendar AND any busy times will communicate from the Calendar into the system as unavailable times.
    3. New One-way Sync:
      • New: This represents the first time you are linking a Google Calendar from a Google account.
      • One-way: only appointments will communicate from the system to the Calendar. Busy times will NOT communicate from the Calendar into the system as unavailable times.
    4. Existing Shared One-way Sync:
      • Existing Shared: This represent a Google Calendar that was already connected to another area of the appointment portal AND was set as a shared connection.
      • One-way: only appointments will communicate from the system to the Calendar. Busy times will NOT communicate from the Calendar into the system as unavailable times.
  6. Next, decide if you will utilize the default Calendar connection app provided by the Find Your Ally system. This is the most straightforward approach.

Default Credentials

  1. If you are using the default credentials, click on Sign in with Google

  1. A new tab will open up and you will need to enter the Google Credentials. Because this connection is not available to the general public, you may get a warning screen. You can trust the connection
  2. After you have approved the connection by entering the Google Credentials, you will be redirected back to Find Your Ally.
  3. Select the Subcalendar that you want to communicate with and Finish.

Build Your Own Credentials

  1. If you are building your own credentials, you will need to follow the instructions for how to set up an OAuth connection in Google Cloud.
  2. Once  you  have entered the OAuth credentials into Find Your Ally, you will click on Sign in with Google.

Sign in with Google 

  1. A new tab will open up and you will need to enter the Google Credentials. Because this connection is not available to the general public, you may get a warning screen. You can trust the connection
  2. After you have approved the connection by entering the Google Credentials, you will be redirected back to Find Your Ally.
  3. Select the Subcalendar that you want to communicate with and Finish.

Confirm that you are connected

Once you are finished, your screen should look like this:
