Set Caseworker's Availability

Overview

This help article explains how to set up recurring or date-specific Availability Rules for Caseworkers. Rules can be configured by a Provider Administrator on behalf of a Caseworker or directly by a Caseworker Admin.

Provider Administrator Instructions

  1. Log in to findyourally.com as a Provider Administrator.

  2. Click Caseworkers on the left-hand navigation menu.

  3. Select the Caseworker you want to update, then click Edit Profile.

  4. Proceed to the "Setting Availability" section below. 

Caseworker Instructions

  1. Log in to findyourally.com as a Caseworker Admin.

  2. Click My Availability on the left-hand navigation menu to open your profile.

  3. Click Edit.

  4. Proceed to the "Setting Availability" section below. 

Setting Availability 

To help you think through your availability logically, use the following script:

For Virtual (or In Person/Telephone) appointments,

     at locations X, Y, and Z, 

          I offer services A, B, and C, 

               and I am available at these dates/times. 

This will help you determine which availability blocks you need to create based on the appointment type, locations, services, and shifts you offer.

  1. Complete or bypass Step 1: Caseworker Details.
    • This step includes general caseworker information such as contact information, languages, address, and password management.
  2. Continue to Step 2: Availability.
  3. Start by entering Availability Name 
    • Use a name that makes it easy to understand the availability at a glance. We recommend including the Days of the week, Appointment Type, Locations(s)
      • Example: Monday-Wednesday | Virtual | Los Angeles 
  4. Select the Appointment Type:
    • Virtual
    • In Person
    • Phone
  5. Select the applicable Location(s). 
  6. Select the applicable Service(s). 
  7. Add Shifts
    • There are two types of shifts:
      • Pre-Made Shifts: Pre-made shifts are reusable shifts created by a Provider Admin. They are useful when a caseworker has a consistent schedule that repeats on the same days and times.
        • Monday–Friday, 9:00 AM–5:00 PM
      • Custom Shifts: Use a Custom Shift when the caseworker’s schedule does not match an existing pre-made shift or when you need to create a schedule for specific days or times.
    • After selecting either a Pre-Made Shift or Custom Shift, enter the Start Date and End Date for the shift.
      • Important: Make sure to click the (+) button on the right-hand side after entering the dates. The shift will not be added or saved unless you click the (+) button.
  8. Click Save Booking.
  9. Multiple Shifts in the same availability block.
    • You can add multiple shifts to the same availability block. However, all shifts within an availability block use the same:
      • Appointment type
      • Location(s)
      • Service(s)
    • The shifts can differ in:
      • Days available
      • Shift times
      • Break times

NOTE: One Appointment Type per Availability Block. (Virtual, In Person, Phone). If a caseworker is available for both Virtual and In Person appointments, create separate availability blocks for each appointment type.
