Creating and Managing Recurring Shifts

Recurring shifts are designed to be repeatable and reusable schedules that can be applied to multiple caseworkers. They are ideal when staff have predictable or similar schedules, allowing administrators to create a shift once and reuse it across multiple availability schedules.

Recurring shifts differ from custom shifts. Custom shifts are intended for one-off schedules tied to specific dates. Because they are not repeatable, custom shifts do not appear in the recurring shift library.

Keeping recurring shifts separate helps keep the shift library organized and easy for provider administrators to manage.


How to Create a Recurring Shift

Step 1: Log in

Navigate to admin.findyourally.com and log in to your administrator account.

Step 2: Open the Caseworkers tab

From the main navigation menu, select Caseworkers.

Step 3: Open the Shifts page

In the Caseworkers section, click the Shift button located in the top right corner.

This page displays all saved recurring shifts.

Note:
Custom shifts will not appear here because they are designed for single-use schedules tied to specific dates and are not reusable.

 

Step 4: Create a new shift

Click Create a Shift.

This opens the Shift Creation module.

Enter the following information:

  • Shift Name (example: Weekday Mornings)

  • Start Time and End Time

  • Break Time (optional)

  • Days of the Week that the shift should apply to

Step 5: Save the shift

Click Add.

Your recurring shift is now created and saved to the recurring shift library.


Using a Recurring Shift in Caseworker Availability

Once created, recurring shifts can be selected when configuring Caseworker Availability.

When editing a caseworker’s schedule:

  1. Navigate to the Caseworker Availability section.

  2. Locate the Shift field.

  3. Select the recurring shift you created from the dropdown.

This allows the same shift to be quickly applied to multiple caseworkers.


Editing an Existing Recurring Shift

One major advantage of recurring shifts is that they can be updated centrally.

To edit a shift:

  1. Go to Caseworkers

  2. Click the Shift button

  3. Select the recurring shift you want to edit

You can then modify details such as:

  • Days of the week

  • Shift start and end times

  • Break times

For example, if a Weekday Morning shift needs to be extended to include Saturday, you can simply select Saturday within the shift settings.

After making changes, click Save.

Any updates will automatically apply to all caseworkers currently using that recurring shift, eliminating the need to update each caseworker individually.


Best Practice:
Use recurring shifts whenever schedules are predictable or shared across multiple caseworkers. This helps maintain consistency and makes schedule management significantly faster.
