Version 2.9 [Release June 18, 2024] New Features Clients can request appointment information is re-sent via email or SMS Unique Emails & SMS Messages for situations when an appointment is Canceled by Provider or Canceled by Client Clients can reschedule, cancel, change language and get more info via SMS Set a Caseworker as Active or Inactive Enhancements Search keywords for cities abbreviations and services Emailed MFA code is valid for 10 minutes Big Fixes Disabled ability still appearing as enabled Reminder text messages sent after clients cancel appointments New Feature: Clients can request appointment information is re-sent via email or SMS Clients often reach out to support to inquire about existing appointments. In order to help meet this need and continue to adhere to data expungement protocols we've added a workflow for users to look up an existing appointment. Clients must enter their first name, last name, and either an email or phone number that matches an existing appointment. If these three values match an existing appointment that is not more than 48 hours in the past, the system will re-send the confirmation message to the user. The users are limited to three attempts. After three attempts, the required campus information will be used to direct the client to contact the provider for that campus directly. New Feature: Unique Emails & SMS Messages for situations when an appointment is Canceled by Provider or Canceled by Client The information that is communicated to clients when they cancel compared to when a provider cancels could be different. Now, cancellation messages can be unique for three different scenarios: Any cancellation Cancellation by a client Cancellation by a provider New Feature: Clients can reschedule, cancel, change language and get more info via SMS Client can now respond to SMS message with the following keywords and actions: Cancel or X: cancels the appointment Reschedule or R: Gives the next available appointment options for rescheduling. If those dates and times don't work, the user will be redirected to the website for a full search. More info: Depending on the appointment type, more info includes Provider name and contact, Location address or Zoom link L: changes the language of communications sent by the system. New Feature: Set a Caseworker as Active or Inactive If a Caseworker leaves a Provider or transitions to a different role, Provider Administrators can adjust the caseworker status to "Inactive". Inactive Caseworkers are not included in any availability. The default view of the Caseworker list will only list Active Caseworkers, but a filter allows for viewing Caseworkers in either Active or Inactive status. The inactive status allows the Find Your Ally system to retain any data related to the inactive caseworker for reporting. An inactive caseworker can be re-activated as appropriate. 🖥️ Enhancement: Search keywords Data from the search field identified clients often entered values such as "LA" for Los Angeles. We have added keywords to match common city abbreviations and improve the search. Data also revealed that many clients first search for a service instead of a campus. The system will now provide more guidance and prompt users to search for a Location if they search for a service in the initial step. 🖥️ Enhancement: Emailed MFA code is valid for 10 minutes Previously, the emailed MFA code was only valid for 5 minutes. The code is now valid for 10 minutes to accommodate any delays in email delivery. 🐛 Bug Fix: Disabled ability still appearing as enabled Sometimes the time range in an availability that was disabled would save as enabled. This will no longer occur. 🐛 Bug Fix: Reminder text messages sent after clients cancel appointments. If a client cancels an appointment, they will no longer receive any pre-scheduled reminder messages. Reminder messages will not be pre-scheduled to avoid a user receiving a reminder even after the original appointment was rescheduled or canceled. Was this article helpful? Yes No
