Version 2.3 [Released July 11, 2023]

  New Feature: Pending email category and workflow for pending appointments

  • If a Location is set to only accept pending appointments from the portal, an email in the “Pending” category will be sent to the client after an appointment is scheduled.
  • Once the appointment is confirmed by providers, the confirmation email will automatically be sent.

 New Feature: Other email category that can be sent automatically or manually

  • In addition to the five defined email categories (pending, confirmation, reminder, reschedule, and cancellation) there is now an additional email category called “Other”.
  • The Other email can be used for a templated communication need that occurs frequently but does not match the 5 existing categories.
  • The Other email can be set up to automatically send based on a Service-Location pairing and set timing OR it can be set to be sent manually.
  • To manually send the Other email, navigate to the Bookings page and select applicable appointments. Then choose the name of the email from the Bulk Actions dropdown to send the message to the selected clients.
  • There can be multiple emails in the Other category with different timing and content.

  New Feature: One-Way Google and Outlook Calendar connections

  • Users can choose to only sync appointments from Find Your Ally to the connected Google or Outlook Calendar
  • In other words, users can choose to not have busy times from the Google or Outlook Calendar communicating into the system and only the appointments communicating out of the system.

 New Feature: College User profile and reporting dashboard

  • To provide data (excluding PII) about appointments at campuses to individuals such as UndocuLiaisons, there is a new user role called College User
  • College Users will be able to view a summary of appointments over time at their campus(es) as well as the types of appointments being scheduled at their campus (es).

🖥️ Enhancement: Client Email and Phone number confirmation fields on intake form

  • To avoid clients entering errors in their email address and/or phone number, clients are now asked to confirm their email and phone number by entering it twice before scheduling an appointment.

🖥️ Enhancement: SMS error tracking for phone numbers that are invalid

  • If a client enters a invalid phone number (an error or a phone number that cannot receive SMS messages), the SMS symbol will be colored red to indicate an error.

🖥️ Enhancement: Data placeholder list for email and SMS templates is expanded and reorganized

  • The ability to pull data about the location, caseworker, appointment, and intake form fields into the automated emails and SMS messages is expanded and organized.

🖥️ Enhancement: Added option to always display the name of Caseworker at start of booking workflow

  • If there is only one Caseworker at a Location, the default is to not display the name of a Caseworker if Caseworker selection is enabled.
  • Now, there is an option to always display the name of the Caseworker even if there is only one Caseworker at a Location.
  • Location Settings | General Tab

🖥️ Enhancement: Additions to the Login dashboard for Provider Administrators

  • The Provider Administrator dashboard pulls in additional information about the availability of Caseworkers (locations, dates, and services)
  • There is now a list of Provider Administrators affiliated with the provider and the Locations that they are assigned

🖥️ Enhancement: Spanish Translation continues

  • We have continued to add and edit Spanish translation (from a translator rather than Google Translate) to all of the public facing webpages and booking workflow. If you find a place with an error or missing translation, please reach out to lsapsupport@foundationccc.org 

  Bug Fix: Pagination on SMS template dashboard

  • The ability to navigate between pages was added to the SMS template dashboard
